Introduction

This article contains instructions on how to publish an Astrato workbook.

Draft and Published Workbooks

When you create a workbook, it's created in Draft state. You can make changes to the workbook, and it cannot be added to a collection or viewed by anyone else. Published workbooks can be added to collections and shared with other users. If you’d like to make changes to a published workbook, you can create a Duplicate, then merge the changes with the original published workbook.

Note: If you remove a workbook from all collections, the workbook will be unpublished.

Workbook Editor

To publish a workbook you need to open the workbook in the workbook editor (Figure 1). The Publish button is in the right of the screen.

Publishing a Draft Workbook

To publish a draft workbook, follow these instructions (Figure 2).

  • Click Publish in the top right of the screen.

  • When the Publish Workbook screen opens, select a collection for publishing the workbook or click New Collection to create a new one.

  • Click the remove button to remove the workbook from a collection.

  • Click Publish when you've completed your changes, then Confirm to open the confirmation screen.

  • In the confirmation screen, you can either copy the URL for the published workbook, open the URL in a new tab or click View in Collection to open the workbook on the Collections page. In a published workbook, the Draft field will be replaced by the Manage Collections button.

To publish a linked workbook, follow these instructions (Figure 3).

  • Click Publish in the top right of the screen.

  • When the next screen opens you'll be asked to Choose a publishing type.

  • Select the option you need - either to Update linked published workbook (overwriting the linked workbook and updating the connected collections) or Start a new publication (connecting to all collections, and converting the draft to a new published workbook). Click OK to confirm.

  • When the confirmation screen opens, you'll have options to either copy the URL for the published workbook, open the URL in a new tab or click View in Collection to open the workbook on the Collections page. In a published workbook, the Draft field will be replaced by the Manage Collections button.

Unpublishing a Workbook

If you have a published workbook and would like to remove it from a collection, you can "unpublish" the workbook.

  • Go to the Workbooks page and click on Manage Collections in the bottom right of the workbook tile (Figure 4).

  • When the collections window opens, click the minus sign beside the collection, then confirm you'd like to remove the workbook.

  • Close the window. The workbook will have reverted to being a draft.
